Gentle Mile Holidays (“we”, “us”, “our”) is a partnership firm based in Guwahati, Assam (GSTIN 18ABEFG8480D1Z9). This policy explains what personal information we collect when you contact us or use our services, how we use it, and the choices you have. We are committed to handling your data responsibly and in line with India’s Digital Personal Data Protection Act, 2023.

Information we collect

We collect only what we need to plan your travel and respond to you:

• Contact details - your name, phone/WhatsApp number and email address when you enquire.
• Trip details - destinations, dates, group size, budget, and preferences (including dietary, accessibility or medical needs you choose to share) so we can tailor your itinerary.
• Traveller details for bookings - where required by hotels, airlines, transport operators or for permits (e.g. names as per ID, and where legally necessary, ID/passport details).

How we use your information

• To respond to your enquiries and prepare quotes and itineraries.
• To make and manage bookings with our suppliers on your behalf.
• To provide support before, during and after your trip.
• To meet legal, tax and regulatory obligations.

We do not sell your personal information. We never share your contact details - your name, phone number or email - or anything you write in the message box with any advertising platform.

When an enquiry form is submitted we do record that an enquiry happened, along with the destination you asked about and the number of travellers, so we can tell which parts of the site are useful. That record carries nothing that identifies you.

Who we share it with

We share the minimum necessary information with the suppliers required to deliver your trip - for example hotels and homestays, transport providers, guides, airlines, destination management partners, and permit authorities. We may also share information where required by law. All such sharing is limited to fulfilling your booking.

How long we keep it

We retain your information for as long as needed to serve you and to meet legal and accounting requirements (tax records are typically retained for the period required under Indian law), after which it is deleted or anonymised.

Your rights

Cookies, analytics & advertising

Besides the cookies needed to make the site work, we use the following, loaded through Google Tag Manager:

• Google Analytics - to understand how many people visit, which pages they read and roughly where they are from. This tells us which destinations to write about; it is not used to identify you personally.
• Meta (Facebook) Pixel - an advertising cookie. It lets us show our Facebook and Instagram ads to people who have visited this site, and tells us whether an ad led to an enquiry. Meta receives the pages you viewed on this site, along with your IP address and browser details.

Both set cookies in your browser and both send data to servers outside India. If you would rather not be included, you can block cookies in your browser settings, use your browser’s private mode, or use any tracker-blocking extension - the site works normally either way. You can also opt out of Google Analytics across all websites with Google’s official opt-out add-on, and control ad personalisation in your Facebook ad preferences.
